DATA PRIVACY NOTICE FOR RECRUITMENT
  
This notice (the “Notice”) is intended for individuals who apply for an employment at WDFG Helsinki Oy (“WDFG Helsinki Oy”, “we” or “us”). By submitting an application to a specific vacancy, you consent us to process your personal information in accordance with this Data Privacy Notice.

WDFG Helsinki Oy is responsible for the personal data in accordance with applicable Personal Data Act and General Data Protection Regulation. The personal data is processed for the purpose of executing recruitment of employees to our company.

Collection of personal data

WDFG Helsinki Oy is responsible for the processing of the personal data that you contribute. We collect personal data about you, when you apply to an open position through our recruitment channels or otherwise add personal information about yourself personally or by using a third party (eg. LinkedIn).

Personal data

In order to create the best possible experience during and after the recruitment process, it is important for us to be able to process and record your data.

We process and record the following data:

• Name
• Date of birth
• Contact details
• Notes after a phone call or an interview
• Your video recruitment interview
• Notes after a reference call
• Background check that we administrate
• Candidate evaluation
• CV, personal letter, testimonials, diplomas, certificates, email conversations, photos or other material that is sent to us by you, related to the recruitment process. 

Some data, such as background checks and candidate evaluations, may contain sensitive personal information. For this data, you will give a special consent before giving us the permission to use such data.

Why do we process your data?
 
WDFG Helsinki Oy only processes such personal information that is necessary to carry out the recruitment process. This also applies to sensitive personal data. Personal data is processed only for the purposes described in this Privacy Notice. WDFG Helsinki Oy processes your personal information in order to:

• Determine the relevance of the candidates for the specific position
• Communicate with the candidates
• Present candidates’ profiles to other positions in order to create more job opportunities.
• Handle any disputes or cases regarding alleged discrimination.

Consent from the applicant
 
You consent to the processing of your personal data in our purposes to carry out the recruitment process. You agree that personal information is collected, when you apply for a job through our recruitment channels, and when you add personal information about yourself personally or by using a third party such as LinkedIn. As an applicant, you consent to the personal data collection also for how long the personal data is processed and maintained in our systems. You have the right to withdraw your consent at any time by contacting us using the contact details set out in this policy.

Storage of the data

The personal data collected is stored and processed within the EU and EEA.

Storing of personal data

If you do not ask us to remove your personal data from our systems, your personal data will be stored and processed by us as long as we consider it is necessary for the purposes stated above, but no longer than twelve months. Please note that we can keep your application for further recruitments if we think you could be interesting for future recruitment possibilities within the twelve month time-limit.

We will retain your personal data for maximum twelve months after the recruitment that you first applied has ended. 

Your rights

You have the right to request information about the personal data we have processed by notifying us in writing by using the contact details provided in this notice. You have the right to receive a copy of the collected personal data belonging to you free of charge. You also have the right to demand deletion or restriction of the data, and the right to object the usage of the data in certain circumstances. In some circumstances, you have the right to transfer your personal data (data portability), which means the right to obtain your personal data and transfer it to another date register, as long as this does not affect the freedom and rights of others.

Security

We prioritize personal privacy and therefore work actively to ensure that your personal data is processed with the utmost care. We take the measures that are reasonably required to ensure that your personal information is processed securely and in accordance with this Privacy Notice and GDPR. However, the transmission of information via the Internet and mobile networks can never be done without risk, so all transmission is at your own risk. It is important that you also take responsibility for ensuring that your information is protected. It is up to you to ensure that your login information is kept secret.
 
Transfer of personal data to third parties

We will not sell or transfer your personal data to third parties. However, we may transfer personal data to our suppliers and subcontractors, according to our guidelines, for the provision of services related to the recruitment process. We may also need to transfer your personal data if required by government according to law. We only transfer your personal data to third parties with whom we trust and have personal data access agreement.
 
Aggregated data
 
We may share aggregated information (non-identifiable personal data) with third parties. In such a case, the aggregated information has been compiled from information collected by us, and could, for example, consist of statistics on internet traffic or the geographical location. Aggregated information does not contain any information that can be traced back to a particular individual and therefore does not constitute personal data.

Cookies

When you navigate on our website, information about its use will be stored through cookies. Cookies are passive text files stored by the browser in your device, such as your computer, mobile or tablet, during navigation. We use cookies to facilitate your use of our services and to collect information such as statistics on how you found here. This is done in order to secure, maintain and improve our site and services. You can deny the use of cookies at any time by changing settings on your device.

Changes to the Privacy Notice
 
WDFG Helsinki Oy reserves the right to revise the Privacy Notice. If we make any changes to the Privacy Notice, we will publish these on WDFG Helsinki Oy’s recruitment website. Therefore, it is recommended that you read this Privacy Notice regularly to be aware of any changes. If we change the Privacy Notice in a manner that is significantly different from what was stated when your consent was collected, we will notify you of these changes and, if necessary, ask you to re-consent to WDFG Helsinki Oy’s personal data processing.
